How long does implementation take?

Implementation typically takes one to six weeks depending on organizational needs, configuration decisions, project timing, and data readiness.

What data can Cogran migrate?

Cogran can import compatible registration, reservation, member, and contact information supplied by your organization. The team reviews available files and confirms the migration scope before work begins.

What training and support are provided?

Cogran provides a dedicated account manager, personal training, configuration and migration assistance, helpdesk access, a four-hour response target, and 24-hour support availability.

Can implementation be phased?

Yes, when a phased approach fits the project. A launch can be planned by location, program area, season, or workflow after the dependencies and data requirements are reviewed.

Yes. Cogran supports household-centered customer accounts so families can manage participants, registrations, payments, memberships, forms, and relevant account information together.

Can Cogran manage waitlists, discounts, scholarships, and payment plans?

Yes. Cogran supports waitlists, coupons and discounts, scholarship or assistance workflows, and scheduled payment options. The exact setup depends on the organization’s policies and the program configuration.

Which recreation workflows can Cogran manage?

Cogran can manage program registrations, facility reservations, memberships, camps, youth and adult sports, attendance, communications, household accounts, payments, forms, waivers, rosters, waitlists, refunds, discounts, and reporting.

How do communications and reporting connect to operations?

Email and SMS communications can use information already managed in Cogran, while operational activity feeds rosters, attendance information, financial records, and reports. Access depends on staff permissions and the organization’s configuration.

How does Cogran handle online payments?

Cogran works with Stripe for secure online payment processing. Payment activity is connected to the applicable registrations, reservations, memberships, refunds, and reporting workflows in Cogran.

Which payment methods are available?

Available payment methods can include credit and debit cards, ACH, Apple Pay, and compatible in-person or tap-to-pay options. Availability can vary by device, Stripe account, transaction type, and approved configuration.

What are the payment-processing fees?

Standard online card processing is commonly approximately 2.9% plus $0.30 per transaction, while nonprofit or other negotiated rates may differ. Stripe and Cogran proposal terms should be reviewed for the organization’s actual rate and any applicable platform fee.

Can Cogran exchange data with our other systems?

Cogran can exchange compatible information through supported imports and exports. The required fields, format, frequency, and ownership are reviewed before the approach is confirmed; an automated integration is not assumed unless specifically included.

Where is Cogran hosted?

Cogran uses Microsoft Azure cloud infrastructure and SQL Server as part of its platform environment. Specific architecture, retention, and customer requirements can be reviewed during the security process.

How are staff permissions managed?

Cogran supports role-based access so organizations can align administrative permissions with staff responsibilities. The organization controls which users receive access and how roles are assigned.

Does Cogran support single sign-on?

SAML single sign-on is available for enterprise implementations. Scope, identity-provider requirements, setup, and pricing are confirmed as part of the proposal.

How does Cogran protect access and data?

Cogran uses secure web connections and modern authentication and authorization methods, including SSL, OAuth, and token-based access where applicable. Optional code-based multi-factor authentication is also available. Security details should be evaluated against the organization’s own requirements.
